The dataset record lifecycle defines the stages a dataset record moves through from creation to publication and deprecation. Understanding these stages helps you track where your dataset records are in the review process and what actions you need to take next.
Each stage represents a checkpoint in the quality and governance process to ensure dataset records meet the required standards before publication. The lifecycle supports multiple workflow paths, allowing you to publish dataset records publicly, restrict them to internal use, or deprecate them when they are no longer relevant.

Common workflows

Publication workflow
Dataset records typically follow a linear path from Draft to Published, with options to mark as Internal Only. The standard publication workflow ensures that dataset records undergo necessary quality checks and approvals before becoming publicly accessible.

Internal-only workflow
For dataset records that contain sensitive information or require internal review before public release, you can mark them as internal only, making them accessible only to users within your organisation. There are two ways to mark a dataset record as internal: from the Validated stage or from the Approved stage.

Internal to public workflow
To change an internal dataset record to public, restore it to Validated status and follow the standard approval and publication process.
