Identify your role
First, identify your role in the dataset workflow. While role names may vary based on your organisation, they generally fall into the following categories:
| Role | Responsibilities |
|---|---|
| Editor | Create dataset drafts, edit datasets, submit for review |
| Validator | Validate submitted datasets, ensure technical standards and accuracy |
| Approver | Approve validated datasets, enforce governance policies, ensure compliance |
| Publisher | Publish approved datasets, manage public access, revert datasets |
The roles names described in this section reflect common usages of the platform, and may differ for your organisation. If you're unsure about your role, check your permissions.md) or contact your system administrator or Inventory Coordinator.
Publish datasets
Move datasets throughout their lifecycle from creation to publication.
Choose your task based on your role:
- Add datasets and submit them for review.
- Validate datasets to ensure accuracy and completeness
- Approve datasets to ensure compliance with governance policies
- Publish datasets to make them publicly discoverable (or mark as internal to restrict access to your organisation)
Revert datasets
Manage published datasets by changing their status or availability when needed.
Choose your task:
- Unpublish datasets: Temporarily remove from public access
- Revert to draft: Return to draft status for major revisions
- Deprecate datasets: Mark as no longer current or relevant
A typical dataset workflow involves multiple roles and stages. If you're unsure about your organisation's publishing and approval processes, contact your system admin or Inventory Coordinator to understand your specific workflow and requirements.
